Arre you an experienced office manager looking for your next challenge? Do you enjoy working with college students and want to contribute to the facilitation of their academic success? The Dean’s Office within the College of Arts and Sciences is looking for an Administrative Coordinator II to support Undergraduate Academic Advising.  

 

You will serve as the personal assistant for the Executive Director of Academic Advising and Student Success and be the primary support for the Assistant Directors and Dean’s level advising staff. You will handle tasks such as preparing correspondence, maintaining calendars, and scheduling appointments. Responsibilities will also include organizing meetings on behalf of the Executive Director, facilitating customer appointments, and managing communication for the Dean’s Office advising. Additionally, the role involves planning and executing office operations, coordinating meetings and events, managing team procedures, and supporting various administrative functions and projects. 

 

Opportunities to Contribute:  

  • Administrative Support: Coordinate and manage administrative tasks, including preparing reports, summaries, and analyses for the Director of Advising. 

  • Meeting Coordination: Schedule and arrange meetings, including logistics, announcements, and other services as requested by advising staff. 

  • Customer Service: Serve as the first line of communication for Dean’s Office advising, triaging issues, and referring students and visitors to appropriate resources. 

  • Project Management: Oversee special projects, monitor project timelines, and identify issues. 

  • Process Improvement: Adapt, combine, and improve services, processes, or programs. 

  • Event Planning: Provide logistical support for college advising meetings and events, including scheduling, room setup, and ordering materials and refreshments. 

  • Office Management: Monitor and maintain office procedures, ensure cleanliness and general appearance of common areas, and oversee office equipment and supplies. 

  • Technical Support: Assist with IT issues, manage virtual advising meetings, and coordinate the use of Zoom. 

  • Budget Management: Support the oversight of multiple advising center budgets and assist with purchasing processes. 

  • Onboarding: Assist with the onboarding of new advisors and act as a liaison to business, human resources, and IT units. 

  • Document Management: Manage incoming mail, deliveries, and faxes, and maintain electronic document management systems. 

  • Communication: Maintain contact lists, manage shared drives, and enter advising notes to keep records of appeals and petitions. 

 

Qualifications 

  • Bachelor’s degree or equivalent combination of education and experience 

  • Three years of experience in office administration 

 

A well-qualified candidate will also have:  

  • More than two years of experience in office administration or project management. 

  • Experience with document management processes and systems.  

  • Working knowledge/experience with EAB NAVIGATE, COMPASS and HOWDY.  

  • Ability to cultivate and maintain professional working relationships with people. 

  • Knowledge of spreadsheet, database, and presentation applications. Interpersonal and communication skills.  

  • Planning and organization skills.  

 

Salary: Compensation will be commensurate based on the selected candidate’s education and experience.  

 

Special Note: This position will require working occasional evening and weekend hours and may require occasional travel.
